Description
We are seeking a highly organized and proactive Locum Administrator to support our healthcare team. This role is essential in ensuring the smooth operation of administrative tasks within a busy environment, playing a key part in maintaining efficiency and excellent patient service.
Key Responsibilities:
- To act as the first point of contact and to all visitors to the Home ensuring a warm and friendly welcome to the Home.
- Ensuring reception area is kept clean and tidy and no confidential material is left on display/ unattended.
- Ensuring incoming calls are answered in a timely manner, such calls are then redirected to the correct department or messages are taken and forwarded to the intended recipient without delay.
- Calls to the home, (either by phone or in person) relating to potential admissions/ enquiries should be forwarded to the Admission Coordinator immediately.
- Directing incoming mail and parcels to the named individual in line with the External Mail policy.
- Collecting and arranging postage of external mail. Managing the internal mail system in line with the Internal Mail policy.
- Under the direction of the Registered Home Manager arrange meetings, (internal and external) room bookings (including conference calls), including assisting in the coordination of staff meetings and staff appointments.
- This includes taking minutes and distributing following sign off and authorisation from the meeting facilitator.
- Arranging couriers, transport bookings for Patients and Staff as requested by the Home’s Senior Management Team.
Requirements:
- Previous experience in an administrative role, ideally in a healthcare or clinical setting
- Strong IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook) and database management
- Excellent organizational and multitasking abilities
- Strong communication and interpersonal skills
- Ability to work efficiently in a fast-paced environment
- Knowledge of healthcare administration platforms is a plus
